Job Title: River Cruise Specialist - (Head office - Calabasas CA USA)
  • Department: Reservations
  • Reports to: Vice President, Reservations and/or River Cruise Supervisors
  • Location: Head Office (Calabasas, CA, USA)
Essential duties and responsibilities include the following. Other duties may be assigned.
  • Create and maintain river cruise, hotel and airfare reservations including: emphasize salable features; accurately respond to questions; quote prices and payment terms; secure reservation options; document special requests; close the sale and process payments.
  • Recommend solutions to overcome client objections and to address travel partner and guest concerns.
  • Make outbound lead follow-up telephone calls and email to qualify leads and sell our products.
  • Provide superior customer service in all interactions with travel agency partners, guests and internal partners.
Other skills, abilities, qualifications, and minimum requirements:
  • Excellent interpersonal and communication skills (verbal and written) to interact with travel agency partners, guests and internal partners.
  • Ability to acquire detailed knowledge of the company's products and services to assist towards maximizing sales.
  • Strong sales ability with attention to detail and a high level of self-motivation.
  • Ability to quickly learn internal reservations booking system and supporting systems.
  • Strong computer skills with basic MS Office programs such as Word, Excel and Outlook.
  • Ability to multi-task and work independently.
  • Strong desire to exceed guest expectations.
  • Previous call center, airline, cruise line, or travel industry experience (particularly working with professional travel agents) preferred.

Job Title: Group Specialist - (Head office - Calabasas CA USA)
  • Department: Reservations
  • Reports to: Group Sales Manager
This position is primarily responsible for coordinating and overseeing the selling of the product to Travel Agencies, Tour Operators, groups (10 guests or more) and FIT guests by performing the following duties.

Essential duties and responsibilities include the following. Other duties may be assigned. Exceeds travel partner and guest expectations through the completion of all reservation and sales related processes as listed.
Responsibilities for Group Bookings:
  • Initiates contact with assigned group producers to explain booking procedures, booking policies, payment terms and intake special requests.
  • Manages Group files/accounts including creating and maintaining the group master account.
  • Maintains relationship with travel agencies/group producer including monthly follow-up calls to assess sales momentum and respond to client needs.
  • Creates and maintains individual reservations within the group master account.
  • Intake all group special and custom requests and coordinate their fulfillment with the operations department.
  • Manage group inventory including, but not limited to, allocating, releasing and blocking cabins in the reservations system and escalating inventory challenges to the Group Sales Manager and Director of Reservations.
  • Collects and processes group payments and allocates said payments to the associated bookings and group master accounts.
  • Keep detailed financial records of all revenues and costs related to assigned groups including providing detailed financial summary to the client.
  • Requests group airfare and custom hotel/land arrangements.
  • Coordinates and interfaces with the Marketing department to facilitate client requests for promotional collateral.
  • Coordinate with the IT department for account productivity reports and for assistance with system issues.
  • Communicate new promotions to assigned travel partners and accounts.
  • Attends consumer and trade shows as needed.
Responsibilities for FIT Bookings:
  • Handles inbound sales calls and works to convert calls into sales whenever possible.
  • Emphasize saleable features, quotes prices and payment terms.
  • Collects and processes payments.
  • Requests air quotes, hotel extra nights and other client special requests with the appropriate internal department.
  • Makes outbound lead follow-up calls to potential and existing customers, by telephone and e-mail, to qualify leads and sell products.
  • Answers questions and recommends appropriate products to fulfill customer needs.
  • Ensure quality control of bookings to maintain the integrity of the product and to fulfill client needs.
  • Handles high call volume, navigates system software and utilizes relevant internal tools.
  • Books cruises, generates invoices and follows up with travel agents and/or direct guests.
  • Develops and nurtures relationships with travel agencies and/or direct clients.
  • Verifies client information in the reservations database and requests updates to the database when necessary.

Job Title: Air Reservation Specialist - (Head office - Calabasas CA USA)

  • Reports to: Director, Air Development
  • Location: Head Office (Calabasas, CA, USA)
This position is primarily responsible for booking the lowest and the most convenient air ticket for all of AmaWaterways’ programs, running assigned daily reports, ensuring that all additional air charges are accurate and correctly reflected on invoice, and communicating in a timely manner with the Director and Reservation staff by performing the following duties.
Essential duties and responsibilities include the following. Other duties may be assigned.
  • Secures air using airline block space or free sell and adheres to all cost guidelines.
  • Works assigned sailings for airline schedule changes, booking and ticketing.
  • Monitors air travel reservations for accuracy and cost guidelines and adjust as needed for changes, cancels and final ticketing.
  • Interacts with internal departments and customers as necessary for coordination of air reservations.
  • Assists with interrupted services in instances of trip delay, weather, and delayed ship.
  • Oversees air deviations including requests for specific airlines, flights and dates.
  • Assists with corporate, crew booking and ticketing when necessary.
  • Generates air tickets.
  • Researches and resolve debit memo issues.
  • Oversees ticket refunds and lost ticket applications.
  • Assists with training co-workers.
  • Assists with other duties assigned by Supervisor, Director or Vice President.

Essential duties and responsibilities include the following. Other duties may be assigned.
  • Work to a set Calendar of tasks for day to day operations.
  • Maintain hotel blocks, release and requests space, including extra nights and upgrades.
  • Run reports.
  • Creates accurate manifests to convey appropriate cruise information and sends to necessary suppliers, utilizing the reservation system.
  • Confirms services with ground suppliers through monthly updating of passenger numbers.
  • Maintains costing sheets per departure for costing control.
  • Generates, compiles, packages and sends customer final documents.
  • Works with the Group Department to ensure all groups run smoothly.
  • Coordinates any requests for custom services, in a timely manner and quote pricing to the end-user.
  • Answers operations questions from Group and FIT Departments.
  • Works with the Air Department to ensure air tickets are issued in time and accurately.
  • Negotiates with suppliers for contracted and custom services.
Expected Standards:
  • Quality control through the accurate reporting of data to suppliers – either confirming services and passenger numbers or through accurate information on manifests and emails.
  • Control costs through managing confirmed services.
